What a commercial security monitoring agreement covers, and how it bills

The pieces of a commercial security system project and its monitoring agreement: installation, monitoring, service, term, and what appears on the invoice each month.

A commercial security project from RBS Dendermonde LLC has two parts with two different bills: the installation, paid like a construction project, and the monitoring agreement, billed monthly. Here is what each covers.

Installation

Cameras, access control, intrusion alarm and the network equipment they run on, designed from a site walk and quoted in writing. The quote lists device counts and locations, cabling, licensing, and who supplies the internet connection. It is paid with a deposit at signing and the balance on completion, when the system is tested with you and handed over.

The monitoring agreement

Monitoring is a separate, recurring service: the central station watches alarm signals and dispatches or calls per your instructions, and the agreement typically includes remote video access, software licensing and routine firmware updates. It states the monthly fee, the term (commonly 12 to 36 months), the notice period to cancel (30 days at our company after the initial term), and the response procedure.

Service calls

Repairs outside the warranty and moves or additions are quoted and invoiced as they happen: a service call rate plus parts, or a quoted project for additions. Some agreements include a service plan that covers labor; the agreement says which.

What the invoice looks like

  • Installation: deposit invoice, then completion invoice, with the device list and the signed acceptance.
  • Monitoring: a monthly invoice on the same day each month from RBS Dendermonde LLC, on Net 15, paid by card on file, ACH or bank transfer.
  • Service: per visit, with the ticket.

Cancelling

Monitoring can be cancelled with 30 days' notice after the initial term; prepaid months after the notice period are refunded. Installed equipment is yours once the installation invoice is paid. See the returns, cancellation and refund policy and payments and invoices.
